Executive Meeting, March 24, 2009
Minutes

Reports:
Past President: Don Wales- Absent
· No conclusion re Riverbend Society-problems, we will wait and see what Don has to say at next meeting.
· Community Sports Volunteer Award Banquet – decided we would nominate Pat Gleason. Don will looked after the paperwork, Brian will see if he can upgrade from a table for 8 to a table for 10. Brian & Carol, Sandy, Richard & Lorna & Linda & possibly 4 others will attend.
Treasurer: Dick Pawloff
Distributed updated treasurers report. (not approved will have to be done at next meeting). Balance in general account-$2,816.01, Loppet account-$1426.23, XC Ski Club GIC -$1,109.09, Total Parkland XC Ski Club -$5,351.33, Total assets-$7,873.49 Brought in $3200.00 from Jack Rabbits less expenses $2700.00 we made $500.00. Received a cheque for $856.00 from the city for lessons.
Vice President: Vance Buckwald - Nothing at this time.
Newsletter: things are going smoothly. As previously discussed will forward copies of the newsletter to the hostels. Would like to add a column to the membership list & mark for those who want a mail out.
Web Site: Dick Pawloff - Nothing at this time
Publicity Richard Townell– nothing at this time.
Social: Sandy booked April 14/09 for AGM.
Reminder to Brian to make note in the newsletter re the AGM for everyone to bring their own cutlery, plate, cup etc. Also note in newsletter that supper will be at 6:30 so anyone bringing hot food will know when to get there.
Sandy & Steve will set up for the AGM @ 6pm

Mountain Tour: Steve Irwin
Send email re tour leader/Exec weekend. April 17& 18th in Canmore.
Steve will approach hostels about giving us one free bed for every 10 we book. We could possibly use free bed as another incentive for anyone bringing a kid as a free bed for anyone under 18.
Alpine club – we get a discount if we book the whole place.
We should book Ribbon Creek Hostel for next year right now if Jenny is still willing to do the family trip.
Day Tour/Lessons: Linda Dickin
We had 3 day tours this year.
Linda sent waiver in no response yet. Waiver was narrowed down to one page.
· Old Business:
· Mike discussed Loppet with Dee Stokoe & mentioned approaching the Nordic Ski Club & see if they wanted to take over & Don would help them out. Mike will mention this to Don.
· Richard will create certificate for the Meuniers life time membership & send to Steve to print on heavier paper.
· Mike spoke to Dee Stokoe re funds for Biatholon & they decided funds could be used for Red Deer Biatholon maintenance. Dee will give receipts to Dick & we will pay for up to a $1000.00.
· Executive Elections – Claude & Nicole are interested in the Secretary position. Social position open.
· Dick discussed Policy & ByLaws Manual – Don & Dick worked on the updates received so far. Some changes were discussed & noted & will be reviewed again at next meeting. Changes are as follows:
- Section VI -#3 change quorum for executive meeting shall consist of 6 executive not 4.
- Section VIII - 30 days notice to amend by laws-give notice at current meeting to be changed at next meeting.
- Under Secretary should add to agenda to have minutes from previous meeting approved.
- E- pg 5 – cancellation policy might differ with accommodation. You may or may not get your money back depending on cancellation policy of accommodations
- #8 –Newsletter Editor – to be updated
- Don will rewrite Loppet guide.
- Change By Laws to read Procedure manual
- Peggy will check for a copy of old ByLaws in files.
· Dick will make changes & send copies out to executive.
· New Business:
· Received cheque for $5000.00 from Alberta Sport Recreation Park & Wildlife Foundation to go towards the purchase of a cross country track setting machine.
· February 24/09 Executive meeting minutes need correction to Jen Foraie name was spelled incorrectly.
· Dick will send out notice to members re Valhalla clearance sale of rental equipment on April 4/09.
